    It is important to note:  Customer’s who also have Microsoft Dynamics CRM 4.0 On-Premise integrated with (through the Adapter) Microsoft Dynamics GP 10.0 On-Premise can also install Feature Pack #2 as there are some additional fix’s for the Adapter included within Feature Pack #2.

    Why this feature is cool!

    Have you had a question for the salesperson when entering a sales invoice?  Have you played phone tag with a vendor to find out if they have an item in stock?  Have you had a customer ask if they can send an order over an instant message?

    For customers using Microsoft Dynamics GP 2010 and Office Communicator 2007, these tasks become easier and your employees will be more productive because now you can see the contact’s communicator status directly within Dynamics GP.  If they show available, you can contact them directly through Office Communicator, start a video call, initiate a phone call, or choose to send them an email.  And you can choose to create an order directly from an instant message conversation without having to navigate to the right window and enter the correct vendor or customer!

    Why this feature is cool!

    In the General Ledger of Microsoft Dynamics GP 2010, you can use a batch setting to make it easier to edit a recurring batch.  With Clear Recurring Amounts, after you post a recurring batch, all of the journal entry line amounts are set to zero (0.00) but all the journal entry lines will remain. 

    Then, when you need to enter the amounts for the batch for the next time you post, you can easily see which journal entry lines have amounts and which ones do not.  This will improve data accuracy and entry speed when editing GL recurring batches.

    Why this feature is cool!

    With Microsoft Dynamics GP 2010, you can setup a Cash Receipts Entry batch as a recurring batch type.  This will allow users to very quickly post cash receipts such as fixed monthly payments received for services, utilities, or other common type of regular customer payments, without having to manually enter each cash receipt on a recurring basis.

    When the recurring batch is posted, the transaction dates will be updated, but the payments themselves will stay.  Next time you want to post, you can enter the apply information and post and the customer will be updated.  This will work for standard payments received as well as RM EFT payments.

    Why this feature is cool!

    When migrating from Intuit QuickBooks to Microsoft Dynamics GP, a valid account number for every account is required. Unfortunately, QuickBooks provides the ability to create a new account without requiring a number – often leaving many accounts with a name, but not a number. When importing this QuickBooks data into Microsoft Dynamics GP using the Rapid Migration Tool v1.1, the Auto Number Accounts feature will automatically assign a number when an account number is missing using standard chart of accounts formatting. The event is noted in the log file and the migration process continues without forcing the user to quit the migration and make changes to their QuickBooks data. The user may edit the number prior to importing into Dynamics GP should they prefer to modify it.

    Consolidate Multiple Contracts into 1 Invoice

    Why this feature is cool!

    Even though you may have multiple contracts for any given customer, with the invoice consolidation for Contracts feature, you can now send out a single invoice that combines the billing from one or more contracts!   Customers love this because they can renew and pay for all contracts from a single invoice.  This means you don’t have to merge multiple contracts at renewal time in order to generate a single invoice to the customer.  This feature works by consolidating all contracts using the billing customer’s address ID. 

    Let’s take the power of the consolidation feature one step further!  If you use the Site layer in contracts, this feature allows you to produce multiple invoices from a single contract if desired!  By setting the consolidate contracts flag at the customer extensions coupled with the ability to specify a billing customer address for every Site line (and change it at the contract line), this new feature allows you unlimited flexibility and control over contracts and invoices.

    The new Service integration to Payroll benefits Payroll users as well as Service users!

    • Capture the employee’s actual cost on Service Labor
    • Create Payroll transactions from Labor entries in Service

    This exciting feature allows you to map a technician to an employee and optionally utilize the employee’s paycode rates to populate the cost for Service Labor or Depot Labor transactions.  In addition, you can specify Service Work Types as ‘post to payroll’ and link them to existing paycodes in payroll.  Each of the labor types in Service can have a default work type (travel, standard, overtime, etc.), but these may be overridden at any labor posting line.  A new utility, “Post Service Labor to Payroll”,  will feed the labor entries captured on Service labor, Indirect labor, and Depot labor into a Payroll Transaction batch.   Details of the labor posting can be viewed and edited from expansion windows available from Service and Depot.

    This feature is great for Techs because they will not be required to submit timesheets separately as their labor entries captured on Service calls can be fed directly into Payroll.  It’s beneficial for accounting personnel who have traditionally had to enter time in for technicians for payroll purposes.

    Microsoft Offers NetSuite Customers Incentive to Switch to Dynamics ERP

    Companies Making the Move

    Many organizations wanting greater efficiencies and an improved ability to manage change are looking to Microsoft Dynamics ERP solutions.     Before we get into today’s Feature of the Day, I wanted to let everyone know we are taking a 1 week hiatus from the Feature of the Day posts.  No, it isn’t because we’ve run out of features! We’ve still got LOADS of great things to talk about with regards to exciting new functionality coming out in Microsoft Dynamics GP 2010.  The hiatus is to let our team catch up on the many other launch activities we have going on right now.  We’ve successfully kicked off our 18 city Partner road show, we’ve held a number of GP 2010 webinars with more coming all the time, and we’re working on a number of new demos and resources to help showcase this great release!  We’ll start up the feature of the day again during the week of March 15th!  Thanks to all of our readers and fellow GP bloggers for sharing these posts…we’ve had TONS of great comments on many of these features and we are excited to share even more with you in the coming weeks and months!  Until then…enjoy today’s Feature of the Day!

    Microsoft Office Word Templates

    Module: Sales Order Processing, Receivables Management, Purchase Order Processing, Payable Management.

    Why this feature is cool!

    Organizations have the need to customize external facing documents.  Some of these customizations may be something as small as changing the company logo that should appear on the document, but all changes, small or big, required users to create a modified Report Writer report.  Users will now be able to make these types of modifications without requiring them to create a modified Report Writer report and in the familiar Microsoft Office Word application!

    · 22 ready to use templates available upon installation

    · Feature is enabled by default after installation

    · Documents are rendered in Microsoft Office Word

    · Flexibility to perform more actions with a rendered document:  Email, Save as PDF/XPS, Publish to SharePoint, etc.

    Why this feature is cool!

    Navigation List Builder extends the functionality of the Navigation Lists letting a customer include exactly the data that they want, whether it be from any table in Microsoft Dynamics GP or any 3rd party product, as well as external SQL tables and views!

    The Navigation Lists will retrieve only the information selected speeding up the list performance. 

    Users can customize their lists in the following ways:

    • Select the fields to display
    • Select the fields to show in the Preview Pane
    • Define the Preview Pane layout
    • Restrict the data by default, dramatically speeding up list load performance
    • Create Calculated fields
    • Create Actions to:
      • Open Forms
      • Run Reports
      • Launch Files
      • Launch Web sites
      • Perform standard Dynamics GP Functions such as Transaction Posting or Customer Aging
    • Display various Status Icons

    Feature of the Day: Excel Report Builder Report Publishing

    Why this feature is cool!

    In Microsoft Dynamics GP 2010, any user will be able publish Excel Report Builder reports as long as certain criteria are met. The user must be one of the following:

    • sa user
    • DYNSA user
    • Any user in the db_owner database role in SQL
    • Any user in the SysAdmin fixed server role in SQL
    • Any user in the dbCreator fixed server role in SQL

    This enables more users than simply ‘sa’ to publish Excel Report Builder reports, empowering users outside of IT to manage this process and extend the reach of information throughout the organization.

    What does it look like?

    Go to Microsoft Dynamics GP menu, then Tools > SmartList Builder > Excel Report Builder > Excel Report Builder > Publish buttonimage

    Why this feature is cool!

    Users can now automatically total numeric columns in Excel with Excel Report Builder!  When setting up an Excel Report in Excel Report Builder report, the user only needs to mark the “Display totals at the end of each list” option on the List Options window and all numeric columns will automatically be totaled at the bottom of the column.   

    What does it look like?

    From the Microsoft Dynamics GP menu, choose Tools > SmartList Builder > Excel Report Builder > Excel Report Builder > Choose the Options button.

    Preventative Maintenance Generation for Contracted Equipment only

    Module: Service Call Management, Preventive Maintenance

    Why this feature is cool!

    This new option enables organizations with contracted service for their equipment in the field to ensure that the Preventive Maintenance work is only performed for equipment that is under a viable contract. If the option is selected, preventive maintenance events are generated only for equipment covered under contract. If cleared, preventive maintenance events are generated for all equipment regardless of whether the equipment is under contract.

    What does it look like?

    Service Setup window (Microsoft Dynamics GP button > Tools > Setup > Project > Service Setup > PM button)
