Ribbon Key Tips

Microsoft Office Outlook 2007 offers an easy way to access all of the commands in the Ribbon using Key Tips. To try it out, open a new mail message and press the Alt key to see the Key Tip bubbles pop up for each tab:

Ribbon with Key Tips on tabs

Pressing the key shown in the Key Tip bubble switches the Ribbon to that tab. For example, press N to switch to the Insert tab:

Ribbon with Key Tips on commands

Once on the tab, Key Tips appear on their respective commands, as shown above. Pressing a Key Tip shown next to a command executes that command – just as if you clicked the button with the mouse!

For example, pressing T inserts a table; P inserts a picture; A then F opens the attach file dialog. Unlike shortcuts, Key Tips are sequences of keyboard letters preceded by the Alt key. You press the keys one at a time instead of holding each one down as you would in a shortcut. So next time you want to insert a picture in an e-mail, just press Alt-N-T.

Once you learn a command, you won’t need to look at the ribbon or switch to the mouse – saving a second or two each time you use a Key Tip!

Combine these with the keyboard shortcuts available in Outlook and you many never need to use the mouse again!

I have a problem which first occurred on an office pc running Outlook 2003 and which popped up on my Vista notewook running Outlook 2007. I now have multiple calendars with various labels "calendar (2)" or "2 (1)".  Is there a way to combine then wtihout having to do a manual drag and drop for each appointment so as not to miss any potential appointments?

Stanley -

You can drag/drop all appointments between calendars pretty easily. Open the first calendar, click View | Current View | All Appointments and then select all of the appointments and drag them to the second calendar. Hope this helps!

ALT-G used to bring up the "Categorize Tasks" window.  Not a particular task - but the whole selection window.

How can this be done in Outlook 2007?  This has been antagonizing me and my roommates for weeks now.

Thanks,

Michele

I find this very annoying as I have various macros beginning with alt, and if you stay too long on the alt key these keytips come up and you have to get rid of them before you can get on with the macro. Is there any way of disabling this feature?

Currently you cannot disable key tips but Alt has been used as a "accelerator" key in Outlook since Microsoft Office Outlook 2003 to give users quick access to the toolbar. What was your previous solution to this problem?

I second Michele's question - how do you open the Categories list with the keyboard? I understand the "shortcuts for color categories", but that requires I assign and memorize every category and associated color. I just want a keyboard shortcut open the list and let me choose.
