Managing Enterprise Metadata with Content Types and Search

The SharePoint MVPs have done it again.  This time Robert Bogue, a SharePoint MVP and architect who often finds himself on the the fence between the IT Pro and Dev worlds.  His background combined with his technical writing abilities lend great insights that are enlightening to say the least.

I asked him if he could put something together that helps people demistify content types, properties, and managing meta data at a broader level.  This paper explains the challenges and provides practical techniques to implementing strategies.  You'll find a unique perspective from someone who understands the business and technical perspective and appropriately splits the world of Dev and IT.  It was his paper for SPS 2003 on "Harnessing Properties in SharePoint Search" got me excited about seeing him take this to the next level with the new capabilities in the 2007 product.  Robert has done an excellent job.  I welcome your feedback and comments.

"By managing its metadata, an enterprise can promote the consistency of the information used across all its teams, make it easier to store and retrieve information, and make its information more searchable. This white paper describes the challenges of managing metadata and includes practical techniques for implement an enterprise metadata strategy using Office SharePoint Server 2007.

Describes the metadata challenges that enterprises must deal with, such as balancing the amount of metadata, making metadata consistent across similar types of content, and managing the evolution of metadata.

Describes content types, site columns, and other Windows SharePoint Services 3.0 and Office SharePoint Server 2007 features that facilitate successful enterprise metadata management.

Introduces practical techniques for implementing an enterprise metadata strategy using Windows SharePoint Services 3.0 and Office SharePoint Server 2007."

Perfect timing!  Thank you Joel and Robert!  This is just the kind of information we need as we plan and deploy our intra/extra/Internet sites on MOSS 2007.

I also can't open the link. Can someone from the blog fix this? Thanks ;-)

I got another question. Have you got a map where the interface beetween the crawler and the medadata database is described? So what fields in the document properties are mapped to wich managed property in sharepoint?

This is a very interesting document (after finding it on the web as the link did not work for me as well).

The only thing which is missing for me is, how to get the SharePoint version no. into my word 2007 document?!?

Odd that the link wouldn't work for you.  Works consistently for me.  It is a word 2003 version.  It's also available by navigating to TechNet in the SharePoint Server Tech Library in a section for whitepapers.

I'm trying to lock down our site owners ability to add content types / meta data tags. Is there a way to prevent the creation of new content types or at least alert us when new ones are created? Thanks
