    Breakout Sessions
    Breakout Sessions are the main content delivery modality at Project Conference other than the keynote sessions. These breakout sessions are lecture-style presentations located in rooms seating anywhere from 100-400 people and are 75 minutes in length. They typically include slides, demos, and a Question & Answer period, and they are recorded and distributed in the MyPC virtual event platform.

    Budgeting with Inactive Tasks

    A very common problem people have when building their schedules is they have more work to do than they have budget for. We hit this problem all the time on the Project team when we are doing feature work (we just have so many good ideas for features thanks to all of your feedback). In the past when building budgets, we’d create multiple plans or even, aak, use Excel. Thanks to Inactive Tasks in Project 2010 Professional, we can now easily do this in Project.

    Before I get into the details, let me give you a little background. When we are doing budgeting, we don’t look at dates, we just look at how many dev hours are required for a feature and then work to get the rollup number to match our budget. So our initial schedules will often look like this:

    We’ll schedule all the tasks, once we’ve decided which features and tasks we’re going to do for the coding milestone. Yes, the feature and task names were changed to protect the innocent.

    Step 1 – Turn on the Project Summary Task. This allows you to see the rollups for your project. You can do this by going to the Format tab and checking Show Project Summary Task.

    Step 2 – Insert the Work field since this is really what I care about. After doing this, I can see it would take 1,793 hours to complete all of these features. Unfortunately I don’t have that much time. I only have 1,370 hours so I need to do some cutting.

    Step 3 – Working with my co-workers, I determine the priority of each feature. We track this in a text custom field, Feature Priority. I’ve collapsed the view to Outline Level 1 since right now we only care about features.

    Step 4 – Inactivate the lowest priority features by clicking Inactivate on the Task Tab - Schedule group.

    Notice how Work is now reduced to 1,385hrs. The original values are preserved for the inactivated tasks, they just don’t affect the rollups anymore.

    Step 5 – more cutting since I’m still over my budget of 1,370hrs by 15 hours. I could ask for an exception but I want to see if anything else stands out at this point. I’m going to expand the Medium priority features to get more details.

    Under feature 2, I see some pri 2 UI work that we could ship without so I’ll cut that.

    And we are now 1 hour under our budget – yay. At this point, our next steps would be to get the correct devs assigned to the tasks and the work scheduled out.

    Now clearly I simplified this from the real world experience to make the example fit the blog article but I hope this article shows that you can easily use Project when you are trying to hit an hour or cost budget. If your project is more date driven, you can still use inactive tasks, you’ll just have to adjust your predecessors along the way. From experience the hard part is not using Project, it is getting everyone to agree on the priorities of the various features and agreeing to the cuts.

    We Won an Award

    2cI was in San Francisco recently to receive an award on behalf of the Project team from the Project Management Institute College Of Scheduling (PMICOS), the award presentation was happening in the context of the PMICOS Conference taking place this week.

    It’s great that Microsoft Project got recognized as having “significantly contributed to the project management scheduling profession” among a crowd who until recently was more inclined to lean towards traditional players such as Primavera, Artemis, Planview and the likes. In fact, Microsoft was the only PPM software vendor to be recognized this year, the other nominees being practitioners of the profession. It was also great to see Microsoft receive the highest rating possible in the recently released Gartner Project and Portfolio Applications MarketScope.

    On behalf of the Project Team, we are very grateful for the recognition, just another small indication of the impact Project and its millions of users have in the project management industry and the continued growth and momentum we’ve seen in recent years.

    Announcing The Release Of Service Pack 1 (SP1) for Microsoft Project and Project Server 2010

    Service Pack 1 (SP1) for Microsoft Project Standard 2010, Microsoft Project Professional 2010 and Microsoft Project Server 2010 has been released to the Microsoft Download Center. SP1 contains a number of products updates based on customer feedback, as described in this announcement last May:  Announcing Service Pack 1 for Microsoft Project & Project Server 2010.

    Before you install SP1 it is essential that you understand its content described in the links below, and thoroughly read the guidance documented on TechNet and test out SP1 in a separate environment prior to a production rollout.

    The following TechNet article provides information on how to deploy Microsoft Project and Project Server 2010 SP1: Deploy Service Pack 1 for Project Server 2010.

    The Project Road Map for 2010 has been released

    The Project Road Map for 2010 has been released. The road map is a collection of 12 project management scenario “user goals” and overview map that help users navigate from pm methodology to Project’s feature set. A number of enhancements have been added to the 2010 version.

    • Pm maturity design. Examples for each phase of project management have been designed to lead user from beginner to advanced levels. Here is one example from the cost user goal displaying the extensive “Examples from project management” section that provides a path that helps mature the project manager.
    • PMI focused. The Road Map follows the project phases outlined by the PMI.

    Project 2010 SP1 – Improvements to Project Scheduling in Project Web App

    In Project 2010, we added the ability to create and edit project plans through Project Web App (blog post). One of the limitations though was that the only way to edit projects that contained Fixed Work or Effort Driven tasks was to use Project Professional 2010. We knew this was a shortcoming when we shipped and from the feedback we’ve received, we know this shortcoming puzzled many of you.

    Let me explain, essentially as we were getting late into Project 2010 development we realized that we weren’t able to stabilize editing projects that contained those kinds of tasks in the web environment. Rather than risk project plans getting corrupted, we chose to block the functionality and then stabilize it for SP1.

    I’m happy to announce that with Project 2010 SP1 you can now edit project plans containing Fixed Work tasks and Effort Driven tasks in Project Web App.

    Project 2010 SP1 – Timephased Support for Manually Scheduled Tasks

    In Project 2010 we introduced a new concept called “User-Controlled Scheduling” which is a collection of features designed to give you more control over how tasks are scheduled. Project’s powerful scheduling engine is still there if you want to use it but you also have the flexibility to override it. Click here for the original post.

    One of the key features in User-Controlled Scheduling is manually scheduled tasks. These tasks, just as the name implies, are not affected by the scheduling engine and they will only move if you manually update them. This gives you more control over your schedule but one of the areas you didn’t have control was editing timephased data for them. For example, you couldn’t edit work values in the Task Usage view or report timephased data in task statusing for manually scheduled tasks.

    Based on your feedback, with Project 2010 SP1 you can now edit timephased data for manually scheduled tasks on the Project Client and Project Server.

    Prior to SP1, the circled areas are read-only for manually scheduled tasks:

    With SP1, you can now edit the timephased values for Manually Scheduled tasks just like you can for Auto Scheduled tasks. This is being demonstrated in the My Work view on Project Server and Task Usage view in the Project client:

    Key Takeaways:

    Project Server – If you are using timephased tracking (Hours of work done per period) in My Work or Single Entry Mode (a setting on Timesheets), all tasks can be tracked this way, not just auto scheduled tasks.

    Project Client – You can edit work contours for all tasks now.

    Project 2010 SP1 – Enhancements to Sync to SharePoint Task List

    Back in October of 2009, we introduced you to a new feature in Project Professional 2010 that allows you to synchronize tasks from a project file with a SharePoint task list called Sync to SharePoint (see the original post for details). One of the caveats of the feature was that you were limited to sync’ing manually scheduled tasks. Based on your feedback, we enabled synchronization of automatically scheduled tasks in Project 2010 SP1!

    Let’s see how this works. Here’s the initial task list:

    When you sync it to SharePoint you get the following. The tasks look manually scheduled here since essentially they are because SharePoint doesn’t have a scheduling engine like Project does.

    So if you update Task1 to be on Thursday instead of Wednesday, the other tasks won’t move out in SharePoint even though they are linked:

    But once you sync the task list back into the Project client, the schedule will get updated as one would expect:

    As I mentioned on Monday in this post, with SP1 the team member pages are now supported on Firefox, Safari, and Chrome. This means team members can now view the tasks they are assigned to and submit status and timesheets all through their preferred browser. Why the team member pages first? We heard from you that there was the most need for this and that the team member role is the most prevalent. Team members are defined as people who work on the project’s tasks.

    Announcing Service Pack 1 for Microsoft Project & Project Server 2010

    Today, the Office Division announced additional details of the upcoming Service Pack 1 (SP1) here. Service Pack 1 is on track for release at the end of June 2011. It will be available for all of the Office 2010 applications, including Microsoft Project Standard 2010, Microsoft Project Professional 2010 and Microsoft Project Server 2010.

    It was about a year ago that we announced that Project 2010 had launched. A number of customers jumped right onto Project 2010 and have shared their experiences here. Since the release we’ve received tons of feedback on everyone’s experiences with Project 2010 through a variety of channels – events, this blog, forums, etc. To everyone who provided positive feedback, that’s great. We’re really excited that you are enjoying 2010 and that it is making you and your company more productive. To those of you who provided more constructive feedback, a big thanks to you. This feedback really helps us to improve the product and we funneled a number of your requests into SP1.

    In total, we fixed over 200 issues in SP1 for Project and Project Server. Additionally SP1 is a rollup of all the fixes we’ve previously shipped meaning it contains all of the cumulative updates that have been released to date. I’d like to highlight four of the bigger fixes we made that have all been highly requested by you. In the coming days, we will post additional details on each of these.

    I am excited to announce the release of Microsoft Project for the masses, A Simplified, Scenario Driven Approach produced by Innovative-e.  Microsoft Project for the masses is a whitepaper with associated artifacts (videos, templates and discussion forum) that clearly shows how Microsoft SharePoint, Project Professional, and Project Server can be utilized to solve a particular business problem scenario without the need for intensive efforts to custom configure a project management solution.     Overview
    Even with all the great technologies available to them today, many organizations struggle with some of the most important aspects of project and work management.  Recent surveys show that the most widely used technology tools for managing projects continue to be email, Word, and Excel.   Meanwhile, collaboration and project management tools including MS SharePoint, Project, and Project Server are being broadly implemented among large enterprise project management offices and also increasingly by smaller organizations and enterprise departments. 

    One challenge often faced by organizations large and small when trying to adopt these technologies is the proper mix of process, technology, and people skills.  Some enterprises have the resources (i.e. budget) to define their custom processes, configure the technology accordingly, and develop training plans for the people who will use these systems.  However, many others may lack funding or a depth of expertise to build these custom project management systems and have dedicated resources (i.e. Project and Program Managers) to operate them.

    Arguably the vast majority of people who manage projects and work do so as part of their other responsibilities.  Perhaps they are a manager in an IT organization, so in addition to product and people duties, they also have to wear the hat of project manager for their area of responsibility.  The terms ‘Casual Project Manager’ or ‘Accidental Project Manager’ are often used to describe this type of role.  That said; there is nothing ‘casual’ about their accountability for project(s) success. 

    When modeling complex enterprise process(es) that may benefit from automation, the variables studied must be well-defined and somewhat limited in scope with clear boundaries.  To do this for the purposes of this paper, we have created a scenario that is specific to a particular type of situation and need. 

    This scenario starts in late in the Demand Management phase and ends early in the Performance Management phase.  It does not require that a formal request process be included for implementation, but such a process is likely to become an addition once the planning process is fully implemented.  Typically, organizations will want to complete the Collaboration and Performance Management phases before they formalize the automation of the request portion of the Demand Management phase.   While there are aspects of Portfolio Management, this scenario does not include sufficient information to make strategic decisions at a total business level.

    At the conclusion of this paper you will be able implement a basic Project Management Information System (PMIS) that provides components of Demand Management, Capacity Planning, Resource Management, Project Scheduling, Team Collaboration, and Portfolio Reporting using Microsoft SharePoint Enterprise 2010, Microsoft Project Professional 2010, and Microsoft Project Server 2010.   The scenario is designed for organizations that are looking to consolidate all of their Project Planning activity into a single system using standardized tools and methods.  The completion of this activity should position the organization to expand to Collaboration and/or Performance Management. However, it may not be necessary or desirable to move to these next stages.  So, the proposed scenario can stand alone.

    • Organizations that are moving from ad hoc project & work management processes toward the desire to view all projects in relationship to each other.  Existing tools might include:
      • Email
      • Spreadsheets
      • Time tracking (usually web based and sometimes tied to HR system)
      • File Share or possibly SharePoint for artifact management

    Opening Project MPP files from different versions

    Here’s the problem. You’ve created a project schedule, and now you want to send it to a team mate for review. Your team mate is having trouble opening and viewing the project because she has a version on Project earlier than yours. At this point, you have a few options, depending on who has which version of what:

    Which Project version are you using?

    Which file version are you trying to open?

    Things to keep in mind

    Project 2007

    Project 2010

    No converter is available. If you received a Project 2010 file that you want to open using Project 2007, ask the person who sent the file to first save it to the Project 2007 file format.

    Alternately, you can install the trial version of Project 2010 and then view the file, or save it to the Project 2007 file format.

    Project 2003

    Project 2007 or Project 2010

    There are two possibilities here.

    • If you are using Project 2003 with SP3, project files from later versions of Project can be opened read-only. Download Microsoft Office Project 2003 Service Pack 3.
    • If you are using Project 2003 without SP3, there is no converter available. Upgrade to Project 2003 with SP3, or ask the person who sent the Project 2007 or later file to save the file first in the Project 2000-2003 file format.

    Project 2000 or Project 2002

    Project 2007 or Project 2010

    No converter is available. Ask the person who sent the Project 2007 or later file to save the file first in the Project 2000-2003 file format.

    Project 98

    Project 2000 and later versions

    No converter is available. Consider upgrading to the latest version of Project, or install the trial version of Project 2010 to try out Project’s enhanced functionality.

    Alternately, ask the person who sent the Project 2000-2003 file to save the file first in the Project 98 file format.

    Note Project 2007 and later versions of Project do not have the ability to save to the Project 98 file format.

    That’s a nice table, but how do I tell which version of Project I have?

    • For Project versions 98 through Project 2007, click the Help menu, and then click About Microsoft Office Project.
    • For Project version 2010, click the File tab, then click Help.

    Will I lose my data?

    In nearly all cases, no. There can be a few exceptions, however. if you open a Project file created from a later version and save it the file to your current version, you can lose data or formatting in areas where the later versions contains enhanced functionality.

    For example, new fields and custom fields Information within new fields from later versions of Project, or any formulas relying on new fields, will be lost. New options that are set on custom fields created in the later version of Project will be lost.

    Another example. New calendar exceptions that were added to project and resource calendar functionality (such as monthly exceptions, yearly exceptions, and those with arbitrary dates) will be lost.

    Visual Studio Team Foundation Server 2010 and Project Server 2010 Demo Virtual Machine

    Following the recent release of the Visual Studio Team Foundation Server 2010 and Project Server Integration Feature Pack in March 2011 (New Feature Pack from Visual Studio Improves Project Management and Software Development Team Collaboration), we are announcing the release of a demo virtual machine (VM) today that showcases the integration between both products. This demo VM contains four hands-on labs, which also function as demo scripts. Each script contains a series of exercises showcasing the integration between Team Foundation Server 2010 and Project Server 2010.

    The Visual Studio Team Foundation Server 2010 and Project Server Integration Feature Pack, which further strengthens Microsoft’s Application Lifecycle Management (ALM) solution, was released in March 2011 to customers with a Visual Studio Ultimate MSDN Subscription. The integration between Project Server and Team Foundation Server is a considerable advancement for organizations that want to bridge the collaboration gap between the Project Management Office and software development teams. The demo VM contains the following hands-on labs, which also function as demo scripts:

    Tips and Tricks: Templates, your shortcut to becoming an expert

    Well, maybe not right away. But you might impress your new stakeholders with a quick first draft of your next project by using a template. Templates are one of the most popular ways to get familiar with what Microsoft Project is capable of.

    Not only will these templates jump-start your next endeavor. They can also be educational. Maybe you don’t want to build a commercial building or start a new business (or plan a wedding), but exploring these templates can be interesting in themselves to learn how the rest of the world gets things done.

    Note   All of these templates can be used with Project 2010, even though many of them were created using prior versions of Project. If you open a project that were created in a version later than the one you are using, you may get a prompt to convert the project file first.
